At the Medcity campus, Moolchand offers more than 40 super-specialties, round-the-clock services: Emergency, Ambulance, Radiology, Pathology, Blood bank, Pharmacy and Healthcare education. Various departments of Moolchand, with large numbers of users needed an efficient way to chronicle events and happenings, manage intellectual property in the form of reports and documents and enable online conversations among employees and administration.The management, always aware of the pulse of the organization and sensing a need to empower the employees, approached iridium Interactive. For us it was an opportunity to apply and enhance our expertise in multiple arenas-the healthcare domain where we have time and again proven our strength and Enterprise 2.0 -one of our core practice areas.

The creative and technical heads put their heads together to craft Veda – an intranet solution that is a perfect blend of visual appeal and technology powered by Microsoft Office Sharepoint Server 2007. Veda offers a range of innovative and well thought out services such as document management, enterprise search, e-greetings, discussion forums, suggestion boxes, event announcement section and employee directory.

While the “Knowledge Bank” empowers employees with the information they needed, the “Moolchand Management System” allowed them to view/upload/download the documents categorized under various department An interesting and useful add-on provided by Veda here is the provision for adding any relevant supporting documents needed. Another highlight of this solution, which again focuses on employee welfare and satisfaction is the “Complaint Management Database ” which facilitates the employees to register a complaint for a particular service requirement and also incorporates a workflow to enforce corrective measures and track the status of each complaint.

Today, Veda has opened up many conversations -be it among employees or between employees and administration. Nearly every employee, having experienced the power of knowledge and the benefits and joy of online collaboration and conversation, interacts with Veda on a daily basis.

NASSCOM maintains hundreds of documents – HR, Research, Consulting, White Papers, Case Studies and more – in various formats and file sizes.For NASSCOM all this repository is a wealth of information. They required an IT solution that could take advantage of internet based technologies so that employees of various teams work efficiently and serves their responsibilities/services in a better way. They needed a more efficient way of managing, updating & distributing important documents.
They also needed to impove interactions among the employees and administration, create a sense of community among the team and have a common platform to share team views and get updated on the events/happenings in NASSCOM

For the HR, the solution facilitates smooth functioning by making available the organization chart ,induction related information, policies, various HR forms etc in a single location.Additional innovative features such as Employee face book, Employee of the Month, Editor of the month, Editor of the month have been received very well by the employees and the admin .

The “GYAANX’ “ document library section facilitates employees to view the documents categorized under subscriptions, articles, white papers, presentations and pictures .

“My Workspace” is a personalized section for every employee of the NASSCOM and provides the following facilities for publishing his/her personal profile and activity chart.Other facilities for employees include board room/dial-in bridge booking, quizes and polls, leave applications, public forums to name a few .

The Moolchand Hospital in Delhi has a 50-year tradition of providing excellent healthcare. At its Medcity campus, Moolchand offers more than 40 super-specialty round-the-clock services like Emergency, Ambulance, Radiology, Pathology, Blood bank, Pharmacy and Healthcare education.

Objective Moolchand has a number of departments with a large user base of around 300 members. The hospital administration’s main objective was to reduce the prevalent internal communication barriers, and thus enhance employee retention strategies. This meant chronicling events and happenings in an informative manner, managing intellectual property by documenting it appropriately, and enabling online conversations among employees and administration. An underlying objective was to reduce operational costs and build a system that would help lower future costs.Sensing a need to empower their employees, the Moolchand management approached iridium Interactive (ii) to build an integrated platform to meet their objectives. And for us at ii, it was an opportunity to apply, and build on, our expertise in multiple arenas – the healthcare domain, where we have time and again proven our competence, and Enterprise 2.0, one of our core practice areas.

Solution The ii creative and technical teams put their heads together to craft ‘Veda’ – an intranet solution that is a blend of visual appeal and technology, powered by Microsoft Office SharePoint Server 2007. Veda offers a range of innovative and well-thought out services, including document management, enterprise search, e-greetings, discussion forums, suggestion boxes, event announcement sections and an employee directory. ii also created a “Knowledge Bank” to empower employees through information, and a “Moolchand Management System” which enables them to view/upload/download documents categorized under various departments. Another highlight (much appreciated by employees!) is the “Complaint Management Database” which allows employees to register a complaint and subsequently track its status. A discussion forum for physicians’ discussions and individual workspaces for each employee – these too play their role in encouraging intra-organization communication and knowledge sharing.

Results Today, Veda has opened up many conversation forums -be it amongst employees or between employees and the administration, thus breaking down internal communication barriers. Veda has assured continuous access to documents and has eliminated the manual management and distribution of documents. Veda has also made it easier to find members within a particular department. In a larger context, it has created a sense of community for dispersed users. Above all, from the organization perspective, it has succeeded in increasing employee retention by providing a single platform collaborative space, and encouraging teamwork.

Action Aid approached us with this requirement. Several meetings, discussions, brainstormings later we came up a solution– a Process flow management system for internal processes christened ALPS-Accountability, Learning and Planning System .

About ALPS: Alps is a framework that sets out the key accountability requirements, guidelines, and processes in Actionaid International-not only in terms of organizational processes for planning, monitoring, strategy formulation, learning, reviews and audit but also personal attitudes and behaviours, requires processes and ways of working that are crucial to supporting and strengthening ActionAid’s rights based work.

AAI Portal Architecture:The ALPS framework includes a set of processes, roles associated with the processes and documents attached with each process. A process(which could be a strategy or a review or an appraisal) is initiated and completed at a predefined frequency of intervals and associated documents which are drafted, updated, reviewed and approved by roles across different levels of the organization. The project is aimed to create a tracker by which processes are tracked and documents could be linked and accessed by stakeholders for the defined processes. 
The key features offered by the solution include :

• Global Calendar Functionality: Calendar is an aggregated view of all processes.Depending on access permissions of a user, relevant information is displayed through Calendar.Calendar has a Month View and Year View.  Apart from these two views, Calendar comes with filter options by Location, Function or Theme. An intersection of the calendar, where information is available is listed with a hyperlink to actual process view. Multiple processes can be listed within an intersection.
• Document Management:Empower the stakeholders to manage (Create, update, review, approve) documents associated with the process.
• Document search : A robust Search mechanism to enable process/document search based on pre-defined parameters.
• Process Work Flow : A comprehensive process workflow, which will alert/send reminders to stake holders associated with a process.
• Dashboard : A global dashboard at International secretariat level, Regional level, Country level and Development Authority level.
• User Module: The user module allows Admin to set permissions to users. Users benefit from being able to sign on because it associates content they create with their account and allows various permissions to be set for their roles. The user module supports user roles which can setup fine grained permissions allowing each role to do only what the administrator wants them to. Each user is assigned to one or more roles

ALPS helped AAI in streamlining processes and provided improved transperancy. ALPS is being extensively used by AAI users across 4 continents and 46 countries for managing the processes.

Through ALPS we had the gratification of having developed a product that captured users imagination and also of being part of a noble cause. Our understanding of the domain, responsiveness and involvement was greatly appreciated by the client .
